Line Items: Configurable Line Item Status — Module-Level and System-Level Control

Data Management
April 1, 2026
Feature Overview:

This update introduces a comprehensive status management system for line items, moving away from a fixed, hardcoded list. Administrators can now define which statuses are active for specific modules, set default behaviors, and control whether the status field is editable or read-only. This ensures that the line item workflow precisely matches the operational needs of different business units.

Related Features:
  • Module Builder & Configuration Editor
  • Line Item Audit History
Features/Benefits:
  • Module-Level Customization – Select a specific subset of statuses from the master list (e.g., Created, Signed, Closed) to be available for a particular module.
  • Custom Status Labeling – Override system-level stage names with custom labels (e.g., renaming "Draft" to "Crane Draft") to better fit specific equipment or service workflows.
  • System-Level Defaults – Manage a master list of statuses and default configurations under a new "Line Item Stages" settings page that applies across the entire account.
  • Status Field Behavior Control – Toggle the Status field between an Editable Dropdown (for manual updates) and a Read-Only Label (to prevent unauthorized changes).
  • Automated Defaults – Define which status is automatically assigned to a line item upon creation, reducing manual data entry errors.
  • Post-Summary Disposition – Configure specific statuses to be used by the "Summarize Line Items" feature, streamlining the finalization of complex tickets.
How It Works:
  1. System Setup: Navigate to Settings → Line Item Stages to view the master status grid and set account-wide defaults.
  2. Line Items Configuration: Open a specific configuration in Records → Configurations and click the Status Config tab within the settings.
  3. Define Availability: Use the "eye" icon to enable or disable specific statuses for that module.
  4. Set Custom Labels: Type into the text fields to rename a stage for that module (e.g., "Crane Created").
  5. Runtime Behavior: In a ticket, the line item status field will now only show the filtered dropdown options or appear as a fixed label based on your configuration.
